ChatGPT for Word is an official OpenAI add-in that lets you request drafts, proofreading, and summaries while keeping your Word document open. Free ChatGPT accounts are eligible, but usage limits apply. On Plus and Pro, Word shares an allowance with Codex and other features, so document work can also reduce the allowance available for development.

On October 8, 2026, we checked OpenAI's Word help article, official listing, and rate cards. This guide explains the documented process. We did not install the add-in or test its operation, editing quality, or usage consumption.

1. Word add-in, regular ChatGPT, and Copilot compared
The Word add-in lets you discuss writing and edit the document in the same interface. It is an option when you want to reduce copying paragraphs into a browser and pasting the response back. This does not establish that its writing quality is necessarily better than regular ChatGPT or Copilot.

Although both appear inside Word, Microsoft Copilot and OpenAI's ChatGPT add-in are separate services. Copilot availability depends on your Microsoft 365 subscription and organizational permissions. Microsoft also lists eligible personal subscriptions, so a separately purchased enterprise subscription is not required for everyone. Check your subscription against Microsoft's official licensing guidance.
If you only want to edit inside Word, start by checking the add-in's eligibility requirements. If you also want to delegate work outside Word or create files, compare ChatGPT Work's features and execution environments. These tools serve different purposes; this does not mean you must change both subscriptions to create a document.
2. How to install the official add-in
Install it from the ChatGPT listing on Microsoft Marketplace. Verify that the publisher is OpenAI, LLC. Word, Excel, and PowerPoint use the same add-in, so you do not need to find a separate product with a similar name just for Word.
Confirm the product name, ChatGPT, and the publisher, OpenAI, LLC.
Follow the instructions on the listing. On an organizational computer, check administrator approval first.
The official instructions say to open it from the ribbon. Its location may vary with your Word environment.
For organizational use, also select the intended workspace.
Start with a short selection and specify the facts and wording you need to preserve.
Organizations need to check two permissions
Does your organization permit installing and using the ChatGPT add-in? This is one place to check if it does not appear in Word.
Is the Word feature allowed in your workspace? Microsoft approval alone does not determine this.
The official help article says the feature is enabled by default from October 1, 2026. That does not mean the add-in is automatically installed on your device. Check installation and organizational permissions separately. Even on an eligible plan, availability conditions can vary by region, workspace, and Microsoft 365 environment.
The listings we checked did not establish a complete matrix of minimum supported Word versions across Windows, Mac, and the web. Check the official installation guidance and your organization's administrator for your Word setup. Do not interpret the add-in's own version number as Word's minimum supported version.
3. Prompt examples for proofreading, summaries, and drafts
Define the scope, purpose, and content that must remain unchanged before asking for a rewrite of the whole document. This makes the proposed changes easier to review. The following are sample prompts for fictional documents, not measured results or guarantees of accuracy.

Select the paragraph in Word, then send your request in the sidebar. For text containing costs and delivery dates, specify what must be preserved so that improving readability does not alter the agreed terms.

First show the proposed revision and explain the changes. Do not add information or modify other paragraphs.

This invented example illustrates an editing approach. If the reference date for “next week” is unclear, the author should confirm the actual deadline rather than asking AI to guess it. Even when the wording improves, compare the revision with the original to check that amounts and terms are preserved.
Separate decisions from open questions in summaries
Summarize this document so it can be read before a meeting.
Use these headings: “Purpose,” “Decisions made,” “Open questions,” and “Next decisions needed.”
Keep dates and figures exactly as in the original. Do not add conclusions that the original does not contain.
If an item is not covered, write “Not specified.”
Specify the reader and intended use, such as “for the person making the decision” or “for someone reading about this project for the first time.” Asking only for brevity can omit important conditions, so list what needs to remain. A summary may not replace the original; return to the source to verify contractual terms and figures.
Create a draft from notes
Draft a proposal using only the notes below.
Use these sections: “Purpose,” “Proposal,” “Cost,” “Schedule,” and “Items to confirm.”
If the notes do not contain costs or dates, mark them as undetermined rather than guessing.
Show an outline first, and wait for my review before editing the document body.
If your source material is in another file, do not assume the add-in can read it automatically. Paste the relevant text or use an approved connected app. For a long document, review the outline, then the target section, then consistency across the whole document to make changes easier to track.
4. Free access, additional charges, and the shared Codex allowance
Availability on Free does not mean all AI work in Word is always free and unlimited. OpenAI includes all ChatGPT plans, including Free, but plan limits apply. You also need a Microsoft environment that lets you use Word itself, independently of ChatGPT's access conditions.
Plus and Pro: included allowance first, then credits
- Included plan allowance: Word, Codex, Work, and other eligible features share an allowance.
- After the limit is reached: eligible features draw from your available credit balance.
- If the balance is insufficient: check whether you can purchase credits and whether auto-reload is already enabled.
This sequence follows OpenAI's credit guidance for personal plans. If you use Codex heavily, allow for the fact that repeated document editing in Word can reduce the allowance you wanted to keep for development. Credit rates are not a fixed price per document
OpenAI describes pricing based on input, cached input, and output tokens. The figures below are credits per one million tokens, not a count of free documents included in a plan or the price of one document.

Even for the same paragraph, a brief proofreading request and repeated requests for long explanations involve different amounts of processing. Page count alone does not determine consumption. The official material we reviewed did not establish typical usage per Word document, and we have not applied Excel or PowerPoint examples to Word.
Check remaining allowances and credits in ChatGPT under “Settings → Usage” or in the Codex app under “Usage & Billing.” These credits are separate from an API credit balance. Credit purchases on Free and Go are limited to selected users, so not everyone can buy credits to continue after reaching a limit. If auto-reload is already enabled, balance conditions can trigger additional payments; check those conditions too.
For Business and Enterprise/Edu, organizational contracts and administrator settings matter. Do not apply the personal-plan model table directly to an organization. Check the official organizational rate card and your contract.
5. History, memory, skills, and connected apps
Even when you sign in with the same ChatGPT account, Word conversations are separate from your ChatGPT.com history. Include the requirements in your current prompt rather than assuming writing rules from an earlier chat have carried over to Word.

OpenAI's product page describes using connected material from Outlook, SharePoint, Google Workspace, Dropbox, and other services. This is different from automatically reading another file on your PC. When providing information, select only the material the request needs.
For example, even if you previously told ChatGPT to always include currencies in quotes, repeat that instruction for this Word task. Separate conversation histories do not mean data is not stored or is excluded from training. Check data handling separately in the privacy section below.
6. What to check when it is missing or unavailable
First identify the stage where access fails. The checks below follow official guidance; they are not a list of bugs reproduced for this article.

Do not assume a paid plan guarantees that the add-in will appear, or that being enabled by default means it is installed. Explain Microsoft permissions and ChatGPT permissions separately to the administrator so they can check the right setting. Record the listed product and publisher, your Word version or edition, the account you signed into, and the stage where you became stuck.
When sharing a screen or error for help, redact confidential content, email addresses, organization names, and filenames. You do not need to add another similarly named add-in or remove organizational restrictions just to investigate a display issue. Ask an administrator or support about conditions the official listing does not establish.
7. Confidential information and reviewing edits
Marketplace explicitly states that the add-in can read and write documents and send data over the internet. Its appearance inside Word does not mean processing stays on your PC. Data use follows your ChatGPT agreement and data controls.
Check your training preferences. Separate history alone does not establish that data is excluded from training.
Official guidance says data is not used for training by default. Also check organizational rules before entering confidential information.
The official listing says you can delete and download add-in data from its Settings. Do not assume Word data is managed in the same place merely by looking at ChatGPT.com's history screen. Review wording, facts, and formatting
- Wording: Is the text more natural? Has shortening removed important conditions?
- Facts: Do amounts, dates, names, quotations, and sources match the original? Has AI added information?
- Formatting: Are heading levels, numbering, tables, graphics, and page breaks as intended?
Complex tables, charts, and formatting may need manual adjustments. Save a copy before requesting major changes. Afterward, compare both the changed section and any summaries or conclusions that refer to it. If terms change in the body but the opening summary remains outdated, readers may receive conflicting commitments.
8. Start with a small document
Start with a short, non-confidential document: select a paragraph and review the proposed changes. This helps you assess the workflow. Installation eligibility, editing behavior, and the allowance consumed are separate questions. The add-in is a useful option for editing inside Word, but if regular ChatGPT is enough to discuss wording, there is no need to rush installation.

Can I use ChatGPT for Word for free?
Free is eligible, but usage limits apply. Plus and Pro do not provide an unlimited, dedicated Word allowance; they share an allowance with Codex and other features. Credit purchases after reaching a limit depend on account eligibility. If auto-reload is already enabled, its conditions can trigger additional payments.
Can I use ChatGPT memory or continue an earlier conversation?
Conversations in the add-in and ChatGPT.com are separate. Memory is unavailable in the add-in, and existing skills do not carry over automatically. Restate the document's purpose and earlier decisions to the extent needed for this request.
Do Word, Excel, and PowerPoint need separate add-ins?
OpenAI says they use the same Microsoft add-in. This does not mean every app has identical features or availability conditions. Word works on the open document and cannot automatically reference other local files.
Do I need it if I already subscribe to Microsoft Copilot?
It is optional. If your existing Copilot access meets your needs, you can use that. Compare the add-in when you want to use your ChatGPT subscription for work inside Word. Check pricing, permissions, and model choices separately. This article did not measure which service produces better edits.
